Yarraville Studio Hire (ABN 45 617 061 537) operates a photographic and film studio at 4 Earsdon Street, Yarraville VIC 3013. This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access it, correct it or make a complaint.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Who this policy covers

Yarraville Studio Hire and Red Herring Digital are operated by the same ownership group and share some systems and staff. This policy applies to both. Where your information is handled by Red Herring Digital personnel or systems, it is handled under this policy and subject to the same access restrictions set out below.

Our business partners and affiliates operate their own privacy policies. Please refer to those policies for how they handle your information.

What we collect

Booking and contact information – your name, business name, ABN, email address, phone number and postal address; the dates, times, spaces and add-ons you book; details of your personnel, Authorised Persons and guests; and the purpose of your hire.

Payment information – payments are processed by Stripe. We do not store your full card number. We hold records of amounts paid, invoices, and any Studio Credit balance and transactions.

Identity verification – where you or an Authorised Person collects equipment or takes occupation of a studio, we may sight photo identification and retain a copy.

Security footage – CCTV footage of the entrances and exits of the building, and of the studio interior.

Marketing information – your first name and email address, held in our email marketing platform.

Website information – your IP address, device and browser details, the pages you view, how you arrived at our site, and your interactions with pages. Some of this is collected through the analytics and session-recording tools described below.

We collect most of this directly from you, when you make a booking, contact us, or use our website. It is your choice whether to provide it, but we may not be able to confirm a booking or grant access to the premises without it.

We do not collect sensitive information unless you consent and it is reasonably necessary, or the law permits it. We do not collect or use government-related identifiers except where required or authorised by law.

Why we collect it

We collect, hold, use and disclose personal information in order to:
– prepare estimates, confirm bookings and issue Hire Contracts;
– give you and your Authorised Persons access to the studio and equipment;
– take payment and administer Studio Credit balances;
– verify the identity of people collecting equipment or occupying the studio;
– keep the premises, our staff and our customers safe and secure;
– send you promotional offers and updates about the studio;
– meet our legal, tax, insurance and record-keeping obligations;
– handle enquiries, complaints and disputes; and
– carry out internal operations such as accounting, auditing and training.

Who we share it with

We share personal information with the following providers, limited to what each needs to perform its function:
Get Studio Dock – booking and contact details, for our booking system;
Stripe – payment and contact details, for payment processing;
Mailchimp (Intuit) – first name and email address, for email marketing;
Google (Analytics and Tag Manager) – website usage data and online identifiers, for website analytics;
Meta – website usage data and online identifiers, for advertising measurement;
Microsoft (Clarity) – website usage data and session recordings, for usability analysis; and
Red Herring Digital – customer records, for shared administration, marketing and website management.

We may also disclose your information to our accountants, solicitors and insurers, to courts, tribunals, regulators or law enforcement where we are required or authorised by law to do so, and to anyone you have authorised to act on your behalf.

Cookies, analytics and website tracking

Our website uses cookies and similar technologies. These include cookies necessary for the site to function, and cookies used for analytics, advertising and usability research.

We use Google Analytics and Google Tag Manager, the Meta Pixel, and Microsoft Clarity. Microsoft Clarity records sessions on our website, which can include your mouse movements, clicks, scrolling and the pages you view. We use this to understand how people use the site and to improve it.

You can manage your preferences through the consent banner shown when you first visit, and change them at any time through the cookie settings on our website. Blocking non-essential cookies will not prevent you from making a booking.

Marketing

When you book with us, we add your first name and email address to our mailing list and send you occasional promotional offers and updates about the studio. We do this on the basis of our existing customer relationship with you.

Every email we send includes an unsubscribe link, which takes effect immediately. You can also opt out at any time by emailing [email protected]. We will not send you marketing after you opt out.

Disclosure of personal information – overseas recipients

Several of the providers listed above are based overseas or store information on servers outside Australia. As a result, your personal information may be disclosed to recipients located outside Australia, including in the United States.

Our overseas recipients include Stripe, Mailchimp (Intuit), Google, Meta and Microsoft. Our booking system provider, Get Studio Dock, may also store information outside Australia.

Before disclosing your personal information to an overseas recipient, we take reasonable steps to ensure that recipient handles it consistently with the Australian Privacy Principles.

CCTV

We operate CCTV cameras covering the entrances and exits of the building at 4 Earsdon Street, and a camera inside the studio covering the cyclorama and the studio front door.

We use this footage to keep the premises, our staff, our customers and their property secure, and to investigate incidents, damage or unauthorised access. Signage is displayed at the entrances.

Footage is retained for 30 days and then automatically overwritten, unless it is required for an active incident, insurance claim or legal proceeding. Access is limited to senior management.

How we protect your information

Access to customer information is limited to senior management and accounts staff. We hold information in our booking system, our payment system and our own systems, and we protect it by:
– restricting access to those who need it for their role;
– requiring unique credentials and multi-factor authentication on business systems;
– managing passwords through a dedicated password manager, never shared in plain text;
– applying confidentiality obligations to third parties who handle personal information for us;
– using firewalls, malware protection and monitoring on our systems; and
– training our staff on privacy and information security, with regular updates.

We securely destroy or de-identify personal information when it is no longer needed.

How long we keep it

Booking and financial records – seven years, to meet our tax and record-keeping obligations.
Identity documents – 12 months after your most recent booking.
CCTV footage – 30 days.
Marketing contacts – until you unsubscribe.
Website analytics – as set by each provider.

Data breaches

If we become aware of unauthorised access to, or disclosure or loss of, personal information we hold, we will assess it promptly. Where a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

Accessing and correcting your information

You may ask for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Contact our Privacy Officer using the details below.

We aim to respond within 30 days. There is no charge for making a request. If providing access involves significant work in locating or copying information, we may charge a reasonable fee – we will give you an estimate first and confirm that you want us to proceed.

In limited circumstances we may refuse access, for example where the information is commercially sensitive or the law requires us to refuse. If we do, we will tell you why.

Where we correct information we have already disclosed to a third party, we will take reasonable steps to notify that third party at your request.

If you prefer to deal with us anonymously or under a pseudonym you may, but we will not be able to confirm a booking or grant access to the premises without your full details.
